AskHOA LLC (“AskHOA,” “we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Notice explains how we collect, use, disclose, and safeguard personal information when you use askhoa.net and askhoa.app (collectively, the “Platform”).
Please read this notice carefully. If you do not agree with its terms, please do not use the Platform.

2. Information We Collect
Information You Provide Directly
When you sign up, use the Platform, or contact us, we may collect:
- Identity information: full name, email address, phone number
- Building information: building name, address, city, number of residential units, year built
- Role information: your role within your HOA or management company
- Account credentials: email address used for authentication (we use a magic code system — we do not store passwords)
- Communications: messages you send to us through contact forms or email
- Requests and documents: approval requests, photos, and governing documents you upload to the Platform
Information Collected Automatically
When you visit askhoa.net or use askhoa.app, we and our service providers automatically collect:
- Usage data: pages visited, features used, time spent, clicks, and navigation paths
- Device information: browser type and version, operating system, device type, screen resolution
- Network information: IP address, approximate geographic location (city/region level), referring URL
- Session information: session tokens used to keep you signed in (stored in your browser)
Analytics
We use the following analytics services to understand how the Platform is used:
- Google Analytics (Google LLC): collects usage data including page views, session duration, and general geographic location. Google may process data on servers outside California. See Google’s Privacy Policy.
- Plausible Analytics: a privacy-focused analytics tool that does not use cookies and does not collect personal identifiers. Data is aggregated and anonymized.
We may add additional analytics tools in the future. This notice will be updated to reflect those additions.
Cookies and Similar Technologies
We use only strictly necessary cookies — those required for the Platform to function:
- Session cookies: keep you authenticated during your visit
- Security tokens: protect against unauthorized access
We do not use advertising cookies, tracking pixels, or cross-site tracking technologies. We do not build advertising profiles based on your activity.
Payment Information
We do not collect or store payment card information. All payment processing is handled by Stripe, Inc., a PCI-DSS compliant payment processor. When you enter payment information, it is transmitted directly to Stripe. AskHOA LLC only receives a payment confirmation and subscription status from Stripe.
3. How We Use Your Information
We use the information we collect to:
- Create and manage your account and community on the Platform
- Provide AI-assisted document Q&A and approval request features
- Process subscription payments through Stripe
- Send transactional emails (account setup, magic sign-in codes, request notifications, billing alerts)
- Respond to your inquiries and provide support
- Monitor and improve Platform performance, reliability, and security
- Analyze usage patterns to improve the product
- Comply with applicable legal obligations
- Detect and prevent fraud, abuse, and security incidents
We do not use your information for advertising or marketing profiling. We do not sell your personal information.
4. How We Share Your Information
We share personal information only as described below:

Each provider is bound by contractual obligations to protect your information and use it only for the services they provide to us.
Within Your Organization
Information you share on the Platform (approval requests, Q&A interactions, documents) is visible to other authorized members of your building community according to their assigned role and privileges.
Legal Requirements
We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe disclosure is necessary to protect the rights, property, or safety of AskHOA LLC, our users, or the public.
Business Transfers
If AskHOA LLC is acquired, merged, or its assets are transferred, your information may be transferred as part of that transaction. We will notify registered users by email before any such transfer takes effect.
No Sale of Personal Information
We do not sell, rent, or trade your personal information to third parties for their own marketing or advertising purposes.
5. California Privacy Rights (CCPA / CPRA)
If you are a California resident, you have specific rights under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA).
Categories of Personal Information We Collect
In the past 12 months, we have collected the following categories of personal information:
- Identifiers: name, email address, phone number, IP address
- Commercial information: subscription plan, billing history (via Stripe)
- Internet or network activity: usage data, device information
- Professional or employment-related information: your role within your HOA or management company
- Inferences: usage patterns derived from Platform activity
Your California Rights
As a California resident, you have the right to:
- Know what personal information we collect, use, disclose, and share
- Access the specific personal information we have collected about you
- Delete your personal information, subject to certain exceptions
- Correct inaccurate personal information we hold about you
- Opt out of the sale or sharing of your personal information (we do not sell or share personal information for cross-context behavioral advertising)
- Limit use of sensitive personal information (we do not use sensitive personal information beyond what is necessary to provide the Platform)
- Non-discrimination — we will not discriminate against you for exercising your privacy rights

We will respond to verified requests within 45 days. We may need to verify your identity before fulfilling your request.
6. Data Retention
We retain your personal information for as long as your account is active or as needed to provide services. If you close your account, we will retain your information for a period of up to 3 years to comply with legal obligations, resolve disputes, and enforce our agreements. Audit log data is retained for 7 years.
7. Data Security
We implement industry-standard security measures to protect your personal information, including:
- Encrypted data transmission (TLS)
- Signed URLs for all file access
- JWT-based session authentication
- Append-only audit logs with cryptographic hash chaining
- Role-based access controls
No method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
8. Children’s Privacy
The Platform is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected information from a minor, please contact us immediately at [email protected].
9. Changes to This Privacy Notice
We may update this Privacy Notice from time to time. When we make material changes, we will notify registered users by email at least 14 days before the changes take effect. The “Last Updated” date at the top of this page reflects the most recent revision.
Your continued use of the Platform after changes take effect constitutes your acceptance of the revised Privacy Notice.
